Notes from meetings as fed back to Steering Group


Meeting 3
Ann Wilson informed the meeting that there was £245.18 in the account and the Terms of Reference for the group had been completed and passed to the Clerk, Crowhurst Parish Council, for submission to the Council for approval.  Discussion was taking place with the Clerk regarding the budgeting process, and the invoice for the designing and setting up of the website had been passed to him.  There followed discussion on the grant process and Norman Kwan informed the meeting that claim forms could be found on-line, the grant would be paid in 4 instalments as the plan progressed and would be sent direct to the Parish Council as the responsible authority for the NP. Any stationery and equipment required would be ordered through the Clerk. It was confirmed that the application for the first instalment of the grant would be submitted to the Neighbourhood Plan Group at its meeting on 11 June 2016 and on to the Parish Council for approval and submission.

Meeting 2
Ann Wilson stated that there was nothing to report as no estimates of costs had been received.  The meeting agreed that each task group needed to work up estimates as a priority because grant monies cannot be claimed in retrospect. 

 It was noted that the My Community website was useful for information concerning the neighbourhood planning process and for the claiming of grant monies.

Meeting 1
Tracy advised that the grant had been raised to £9,000.00. She stated that it was difficult at present to start looking at the grant as there were no estimates of costs. It was mentioned that there was £2,000.00 set aside by the Parish Council and there was already more than £100.00 collected in fundraising from teas, coffees and raffle prizes from the previous meetings held.

 Chris Davidson suggested that the Task Groups should work out their expenses for the next 3 to 6months as this could help.
This could then be reported to the finance group who would take the requests to the Steering Group.

Ann Wilson mentioned that there would be extra money towards costs that would be raised by future fundraising events. 
Some future costs such as the hire of the meeting halls and printing costs were discussed



There are several task groups in which Crowhurst resident volunteers work on issues like communications, land use, heritage and the environment  These groups will make a huge contribution to the final Neighbourhood Plan document.

Towards the end of 2016 we met with staff and pupils at Crowhurst Primary School and Claverham. Given that our consultation  with local schools will be ongoing we have created a new dedicated website page links, notes and information about our school visits.
